    The assistant provides support to the firm’s Chief Strategy & Creativity Officer and leader of Ketchum 50+. The role includes organizing and running leadership meetings for the firm’s Strategic & Creative Planners around the world, organizing and running monthly Creative Community continuing education webinars, planning – and occasionally facilitating brainstorms and IMstorms on behalf of Strategic & Creative Planners for their clients, entirely running Mindfire, the firm’s college creativity crowdsourcing platform, managing the firm’s contracts and utilization of creative resources including the Cannes Archives and Contagious, scheduling Cannes Inspiration workshops for clients and prospects, and serving as a liaison between account teams and the awards team to optimize Ketchum’s reputation for creativity. Please note: this role has a specialty focus working with the healthcare team. In addition, the assistant will support the growth of Ketchum 50+, including proprietary research support, preparation of thought leadership presentations and speeches, new business pitches, and collaboration with analytics/influencer/digital specialties. These duties are in addition to providing administrative support to the Chief Strategy & Creativity Officer (Karen Strauss), inclusive of new business pitch support, travel planning, scheduling, budgeting, time entry, and thought leadership support (speeches, blogs, byliners).

    About the Job

    • Support growth of Ketchum 50+ -- including research, thought leadership, prospecting, new business support
    • Coordinate 300-person global Creative Community monthly webinars
    • Support RISC (strategic planning) training and development of RISC briefs for client/new business challenges
    • Support brainstorm preparation and facilitation for Strategic & Creative planners
    • Coordinate meetings and time management for Strategic & Creative Planners across industry sectors worldwide
    • Provide administrative support to Chief Strategy & Creativity Officer/Ketchum 50+ Lead (time entry, travel, scheduling, budget management)
    • Please note: this role has a specialty focus working with the healthcare team.

    Manage Mindfire, the college creativity crowdsourcing site – including college outreach/registration and internal Ketchum creative challenge recruitment and idea write-ups

     

    Mindfire specifics:

     

    Challenge development and content maintenance

    • Work with account and new business teams to integrate the Mindfire platform into the creative ideation process
    • Shape concise Mindfire creative briefs in conjunction with account teams and their clients
    • Manage all Mindfire site content, including challenges, user profiles, past winners, incentives and job postings
    • Monitor site for confidentiality or community-standards violations
    • Work with Creative Community to review and judge ideas; deliver idea reports to account team for client review

    Community Building

    • Manage Mindfire relationship with colleges, professors and students, including recruitment, registration, feedback and integrating Mindfire into university curricula
    • Responsible for weekly announcements to the Mindfire community of winners/winning ideas; available perks from Ketchum; feedback on ideas, etc.
    • Manage incentives for Mindfire community participation, including career-coaching sessions with Ketchum partners, job announcements, Ketchum webinars, etc.
    • Work with Ketchum Human Resources to leverage Mindfire as resource for new agency talent

    Internal Communication

    • Curate and package Mindfire content and community statistics for monthly team report, internal visibility, external media, award submissions, etc.
    • Develop/lead internal marketing and educational efforts, including webinars, training programs, videos, flyers and Mindfire widget on myKGN

    Qualifications

    • Strong proficiency in Microsoft Word, Excel, PowerPoint and Outlook, as well as search engines, blogs and other Internet sources. HTML coding capability a plus.
    • Knowledge of social media required
    • 1-3 three years of previous administrative/marketing internship experience required; creative environment a plus
    • Visual conceptualization/thinking skills a bonus
    • Must be able to flex hours as needed for global calls/projects
    • Excellent communication skills, both written and verbal
    • Strong organizational skills and ability to handle concurrent, multiple assignments with exceptional follow-through
    • Strong initiative and energy, proven ability to maintain confidentiality, meet deadlines and excellent detail orientation
    • Proven ability to be solutions-oriented and resourceful
    • Creative writing skills a plus
    • Strong relationship-building skills; ability to interact with colleagues at all levels
